Event Attendance Tracker

Any club event that is scheduled to take place at the Rotman School of Management will require a formal attendance tracker.  All Clubs must sign out the tracker from the Registrar’s Office one hour before your event.    

Tips to ensure smooth tracking:

  • Set up your event registration (at least 2 weeks in advance), using the event registration tool on RWorld
  • Sign out the attendance tracker from the RO reception desk (Rm 219) one hour prior to your event
  • Scan the T Cards as they come in (for those who forgot you can manually add them)
  • At the end of the event return your attendance tracker to the PSO reception desk (or next business day before 10am)

How to use the tracker?

  1. Plug in the tracking device into your laptop
  2. Within one hour prior to the start of your event Log into the Attendance Tracking link (your event will only show up one hour prior to the start of the event)
  3. Please select your event from the list of events under the link
    1.  if you failed to prepare an event registration you can manually add a new attendance event however this will make the attendance tracking longer as you will have multiple questions to answer for each registrant
  4. Scan Student T Cards (be careful to not block the bar code with your thumb) (the image of each registrant will show on your laptop)
    1. For those students who did not register, however you will allow into the event, just write their name in the Barcode
  5. You can scan in your registrants up to the end of your event
  6. You can click Report at the end of your event to download the registration list (this is only available the day of the event)
  7. You can always review the attendance list via the Event Registration Tool, under view

Timing Note!

All follow-up should be initiated within 1 – 2 weeks following the event date.
